What is the best ERP for machine shops?

The best ERP for a machine shop follows each job through its machines and operators, records setup and run time at every work centre, costs material at the real issue price and shows margin per job on the day it closes. Add inspection records and traceability if you serve regulated customers. Choose on labour capture and costing first, and scheduling second.

What a machine shop needs from an ERP

A machining job is mostly time. Bar or billet is a known cost; what decides the margin is how long setup took, how long the cycle ran and how many parts were scrapped at inspection. So the system has to capture time at the machine, by operator, without slowing the operator down. It also has to hold the routing for each part, so a repeat order starts from the last routing and its real times rather than from an estimate. Material is simpler than in fabrication but traceability is often stricter: heat numbers and certificates travel with the part.

Labour capture is the deciding feature

If operators cannot log time easily, the data will be guessed at the end of the shift and the job cost will be fiction. Look for printed job cards with a barcode, a scan to start and stop each step, and a work-centre rate that turns minutes into money without a spreadsheet. Setup and run should be separate, because setup is the number that quoting gets wrong most often. The result you want is simple: a job closes, and the next morning you can read its cost per piece, its hours by machine and the difference from the quote.

Quality and traceability

Customers in aerospace, automotive, medical and defence supply chains ask for records rather than promises. The system should hold them against the job. Without them, every audit becomes a search through paper folders and e-mail, and the time spent is never charged to the customer.

  • First-article and in-process inspections recorded against the job, with photos where useful.
  • Non-conformance reports and corrective actions linked to the item and the job.
  • Lot or heat-number tracking from receipt to shipment.
  • An audit log that shows who changed what and when.

Options people shortlist

These are the names machine shops mention most, with what each is generally known for. Test labour capture and job cost with your own job before trusting any of them. The one that can show setup and run time on a closed job, without a custom report, is the one to shortlist.

Where ZMOS fits

ZMOS suits machining shops of 10 to 50 people that want labour and cost per job without a separate shop-floor system. Work orders carry routing steps and work centres, job cards print with a Code 128 barcode, labour is logged at the work-centre rate, and the job cost per unit is calculated on the day the job closes. Inspections with photos and signatures, NCRs and CAPA are linked to items and jobs, and every change is in the audit log. It is not designed for plants with hundreds of users, for machine-level data capture from controllers, or for on-premise hosting.

Does a machine shop ERP read data from CNC controllers?

Most small-shop ERPs do not. They capture time from operators through job cards or scans. Automatic machine data is the job of an MES or monitoring tool, which can feed the ERP later if you need it.

How do I cost setup time separately from run time?

Make setup and run separate steps on the routing, each at the work-centre rate. Operators scan in and out of each. Setup then appears as its own line on the job cost and on the next quote.

Can I track heat numbers and material certificates?

Yes, in systems with lot or batch tracking at receipt. The lot follows the material through issue to the job and on to the shipment, and the certificate is attached to the receipt or the lot record.

Is scheduling essential for a machine shop ERP?

Not to start. A work-order list sorted by due date and machine, with live status from job cards, covers most shops under 50 people. Finite scheduling matters once many jobs compete for the same machines daily.
