What is the best ERP for job shops?

The best ERP for a job shop is one that costs every job on its own: material at the price actually issued, labour at the rate of the work centre that did the work, and subcontract steps added in. Most generic ERPs cost standard products instead. A job shop needs routing per order, costing per job and quoting from history. Shortlist on those three.

Why job shops are different

A job shop rarely makes the same thing twice. Each order carries its own drawing, routing and material, so a bill of materials built for repeat production is only a starting point. The question that pays the bills is whether the quote was right, and you can only answer it by comparing the quoted cost with the real cost after the job closes. Generic ERPs assume a standard cost per product and treat differences as variances. That is fine for a plant making the same part all year. For a job shop it hides the margin on every order.

The checklist that matters

Six things separate a job shop system from a general one.

  • A routing on each work order, with work centres and steps you can change per job.
  • A printed job card with a barcode, so operators log labour without a keyboard.
  • Material issued to the job at the cost actually carried in stock, with returns handled.
  • Subcontract steps, with material sent out and received back on the same job.
  • A job cost per unit on the day the job closes, not at month end.
  • A quote versus actual view so estimators learn from the last job.

What to ask for in the demo

Bring one finished job with its quote, drawing, material used and hours. Ask the vendor to enter it from scratch, then show the job cost and the difference from the quote. Watch whether material cost came from stock or was typed in. Watch whether labour came from a work-centre rate or from a guess. Ask how a subcontract step is recorded and how its invoice reaches the job. Finally, ask for the job exported to a file. A vendor who can do all that in an hour has a system that fits a job shop.

Where ZMOS fits

ZMOS was built around per-job costing for sheet-metal, machining and fabrication job shops of 10 to 50 people. Each work order carries routing steps and work centres, prints a Code 128 barcode job card, takes material issues and returns at real cost, logs labour at the work-centre rate and supports job work for subcontract steps. The job cost per unit is calculated on the day the job closes. It is not aimed at job shops inside a large plant with hundreds of users, process industries, or companies that need the software on their own servers.

What is a job shop ERP?

An ERP where the work order, not the product, is the centre of the system. Each order has its own routing, material and cost, and the system reports margin per job rather than variance against a standard cost.

Can a job shop use a generic manufacturing ERP?

Yes, if it allows a routing per work order and costs material at the issued price. Many generic systems can be configured for this, but check that job cost appears without custom reports.

How does a job shop ERP handle subcontracting?

It records the subcontract step on the routing, tracks material sent to the vendor and received back, and adds the vendor bill to the job cost. In India this is usually called job work.

Do I need scheduling in a job shop ERP?

Capacity scheduling helps once you have many machines and overlapping jobs. For most small job shops, a clear work-order list by due date and work centre, with live status from job cards, is enough to start.
