ERP for job work and subcontracting in India

An ERP for job work in India must send material to the job worker on a delivery challan without an invoice, keep that material visible as stock at the job worker's premises, receive processed goods back against the challan, record the job worker's charges on a bill and add them to the job cost, and give you the data for the ITC-04 return.

What job work means under GST

Under GST, job work is treatment or processing of goods belonging to another registered person, the principal. The principal sends inputs or capital goods to the job worker on a delivery challan, not a tax invoice, and the job worker charges GST on the job work service. The principal reports goods sent to and received from job workers in Form ITC-04. Time limits, thresholds and filing frequencies change, so confirm the current rules on the GST portal rather than relying on a vendor's summary. The ERP's job is to keep the challan, the quantities out and back, and the charges in one place.

Material out, material back

The stock control problem is that material leaves the building without being sold. The clean way is to treat the job worker's premises as a warehouse: the challan is a transfer out, the balance there shows what is still outside, and the receipt back is a transfer in of the processed item. Short returns and scrap at the job worker are posted as movements, so the loss is visible rather than buried. Linking the challan to a work order and its routing step shows which jobs are waiting on which outside operation, which is what the planner actually needs to know on Monday morning.

Costing the outside operation

The job worker's bill is a cost of the job, not an overhead. Record it against the work order so the job cost shows material at issue cost, in-house labour at the work-centre rate, and the subcontract charge for the outside step. Then a per-unit cost on the day the job closes is honest and quotes for the next order are based on it.

  • A routing step marked as outside or subcontracted
  • Challan quantities linked to that step
  • The vendor bill allocated to the work order
  • Scrap at the job worker recorded as a movement
  • ITC-04 data available as a report or export

What to check in a product

Ask the vendor to show a complete cycle: challan out, stock at the job worker, receipt back with a short quantity, the job worker's bill with GST, the cost on the work order, and the ITC-04 data. Check that the challan prints with the fields your auditor expects and that the GSTIN of both parties is on it; bring your own last challan to compare. If any of these steps is handled in a spreadsheet beside the ERP, the system does not really support job work.

Where ZMOS fits

ZMOS supports job work (subcontracting) within job costing: material issued at real issue cost, labour at the work-centre rate, and the subcontract charge on the job, with a per-job and per-unit cost on the day the job closes. The stock ledger holds live balances per warehouse, so material at a job worker is visible, and purchasing covers vendor bills with GST tax rates in the same double-entry ledger. It is built for sheet-metal, machining and fabrication shops of 10 to 50 people in India; it is not a tax filing product, so returns are still filed on the GST portal.

Is a delivery challan enough to send goods for job work?

Under GST the principal sends goods to a job worker on a delivery challan rather than a tax invoice. Keep the challan numbered and linked to the receipt back. Confirm the current challan contents and any e-way bill requirement on the GST portal.

What is ITC-04?

ITC-04 is the GST form in which a principal reports goods sent to job workers and received back. Its filing frequency depends on turnover and has changed over time, so check the current schedule on the GST portal. Your ERP should give the quantities per challan.

How should the job worker's charge appear in job cost?

As a direct cost on the work order, allocated from the job worker's bill, alongside material at issue cost and in-house labour. If it goes to overhead instead, the per-unit cost of that product is understated and your quotes will be too low.

Can a shop be both a principal and a job worker?

Yes, and many small machining and fabrication shops are. The ERP then needs both directions: your material at other people's premises, and other people's material at yours, which must not be counted in your own stock value.
