Questions to ask an ERP vendor before you buy
Ask an ERP vendor six kinds of question before you buy: the full price including seats, storage, support and renewal; whether you can export all your data at any time; who answers support and in what hours; how job cost and stock corrections actually work; how security and permissions are handled; and what the trial includes. Get the answers in writing and compare vendors on the same list.

Money and terms
The licence price is the start of the conversation, not the end. Ask what a second year costs, what counts as a user, and whether storage, API calls, support and new modules are included or extra.
- What is the total price for our shop in year one and year two, in writing?
- Is pricing per user, per bundle or per company, and who needs a seat?
- What is included in support, and what costs extra?
- What are the cancellation terms, and what happens to our data?
- Is there a trial with our own data, and how long is it?
Data, export and ownership
Your items, customers, BOMs and transactions are your business. Ask whether you can export every table yourself, in a standard format, at any time without asking support. Ask how data is imported at the start, whether by CSV or by the vendor's team, and what happens to history if you leave. Ask whether there is an API and webhooks, and whether API keys are included in the plan. A vendor who hesitates on export is telling you something about switching costs.
How the manufacturing parts really work
The words on the website are the same from every vendor, so ask for specifics on the features a small shop uses every day.
- How is job cost calculated, and does it use real issue cost or a standard?
- When stock is corrected, is the old record edited or is a new movement posted?
- Can BOMs carry revisions and scrap allowances?
- How is subcontracted work tracked, including material sent out?
- Can the floor log labour and print barcode job cards?
- Can we add custom fields and rules without paying for development?
Security, support and the roadmap
Ask how sign-in is protected, whether permissions go down to fields, whether every change is logged with who and when, and when the last security test was done. Ask who answers support, in which hours and time zone, and the typical reply time. Ask for the public changelog and the user guide, and look at how often the product actually ships. Finally ask what the vendor would not recommend their product for. An honest answer there is worth more than any feature list.
Where ZMOS fits
ZMOS answers these questions publicly: pricing per bundle of three seats, six months free for startups and registered partners, exports of items, customers, vendors and transactions at any time, job cost at real issue cost plus labour at the work-centre rate, an immutable stock ledger, permissions down to fields with an audit log of every change, 17 of 17 attacks defended in the last red-team audit, replies within 6 hours in working hours (9:00 to 18:00 IST, Monday to Friday), and a public dated changelog. It is built for sheet-metal, machining and fabrication shops of 10 to 50 people, not for process plants or multi-site groups.

Inside ZMOS
Should I ask the ERP vendor for references?
Yes, and ask for a shop of your size and trade, then ask that reference about support response and what went wrong at go-live rather than whether they are happy. Published changelogs and user guides are also evidence of how the vendor works.
What should I ask about ERP support?
Who answers, in what hours and time zone, by which channel, the typical first reply time, and whether support is included or billed. Ask what happens outside those hours, and try the support channel once during the trial with a real question.
How do I compare answers from different ERP vendors?
Use the same written list for every vendor and record the answers in a table, with a column for what was shown in the demo versus what was promised. Weight the daily tasks higher than the features you will use once a year.
What question do vendors least like?
What the product is not good for. A vendor who names a type of shop or process they would not recommend themselves for is being honest about fit, which usually predicts honest support later.
